Making Election Changes

The benefits you elect as a newly eligible employee, or during Open Enrollment, stay in effect until the end of the year. IRS regulations do not allow for changes during the year unless you experience a qualifying work or life event, such as:

  • Marriage, legal separation or divorce
  • Birth, adoption or legal custody change of a dependent child
  • Death of a dependent
  • A change of employment status that affects benefits coverage
  • A change in eligibility for you or your dependents
  • An involuntary loss of other group coverage

Qualifying work/life events create a new benefit window for you to make changes to your benefit elections. You must notify the Benefits Department within 31 days of your qualifying event to update your benefits. For the birth of a child, coverage is effective as of their date of birth. For all other events, coverage is effective the first of the month following the event.

Updates in Workday

Log in to your account at www.myworkday.com/navigators

  • Under the “Personal Information” button, you will be able to update your address, emergency contact information and legal name (a copy of your new Social Security card must be attached when changing your name).

  • Under the “Pay” button, you will be able to update your federal withholding elections.

  • Under the “Benefits” button, you can add your new spouse as a dependent (and check the box to make them a beneficiary, if desired).

Other Updates

Fidelity account: If you have a health savings account (HSA) or flexible spending account (FSA), you’ll need to add your new spouse as a dependent and beneficiary. Sign in to Fidelity at www.netbenefits.com to make updates.

Life Insurance: Be sure your beneficiaries are accurate in Workday by clicking on the “Benefits” button and selecting “Beneficiaries.” This will allow you to view and edit the current list of names. Once that is complete, please send your specific primary and contingent beneficiary designation choices to benefits@navigators.org.

403(b) Retirement Accounts: Sign in to fidelity.com/public/nb/atwork/home and select “Profile,” then select “Beneficiaries” to add your beneficiaries for both accounts. If no beneficiary is listed, your spouse will automatically become the beneficiary or funds will go to your estate.

COBRA Loss of Eligibility Chart

We understand how difficult it is to lose a loved one. We must still ask to be notified of the death of an immediate family member or a Navigators employee as soon as possible, and no later than 31 days. Please note, a death certificate will be needed to process benefits like life insurance and retirement benefits.

If you or one of your dependents has recently gained access to health insurance through new employment, this may open an eligibility window for you. You should contact benefits@navigators.org to discuss this change.

  • Field Staff: If your weekly scheduled hours drop from benefits-eligible to 19 or below, the majority of your benefits will be waived. The only benefits that will continue for as long as you are employed are your 401(a) or 403(b) retirement account through Fidelity.
  • Headquarters/Admin: If your weekly scheduled hours drop from benefits-eligible to 29 or below, the majority of your benefits will be waived. The only benefits that will continue for as long as you are employed are your 401(a) or 403(b) retirement account through Fidelity.

Your benefits coverage will end at the end of the month during which you reduced your hours to a below-benefits-eligible level. Please see the COBRA Continuation of Coverage Notice below for more information on the option to continue certain benefits.
